PTO Mission and Job Descriptions
PTO GOALS
- To support the Horace Mann teachers and staff in providing optimal education for our children
- To strengthen the community of Horace Mann families, teachers and staff through PTO meetings, social events, and fun community building events
- To enhance our children's education through fundraising to support Creative Arts and Sciences, and other school programs
Executive Committee of the PTO
The Executive Committee of the Horace Mann PTO is made up of:
- 3 Co-Presidents
- 2 Vice Presidents
- Secretary
- Treasurer
Executive Committee Responsibilities include:
- Determining fundraising needs
- Assisting in the preparation of the annual budget
- Attending weekly meetings, one meeting a month includes the Principal
Executive Committee Member Requirements:
- Access to a Computer, Email, Microsoft Word and Microsoft Excel
- Patience and a good sense of humor
Office of the PTO President
There are 3 Co-Presidents. Each Co-President serves a term of two years. Terms shall not be coterminous, so that at least one Co-President will be in the second year of his/her term, while at least one other Co-President is in the first year of his/her term.
A Co-President’s responsibilities include:
- Presiding at all meetings of the HM PTO.
- Acting as member ex-officio of all committees of the HM PTO.
- Acting as the liaison of the HM PTO to the principal, to the School Council, to the community and to the Newton Council of Parent-Teacher Organizations.
- Attending a monthly meeting of the Newton Council of Parent-Teacher Organization. (only one representative required to attend)
- Planning and running certain fundraising and community events not handled by a committee including, but not limited to, the Welcome Back Barbeque, New Parent Coffee, Curriculum Night, Raffle, Annual Dance, Fitness for Life.
- Organizing unforeseen special events, ie: retirement party, crisis management meetings., etc.
- Making presentations at Kindergarten Orientation, New Parents Coffee and Curriculum Night. (only 1 per event required)
- Overseeing PTO weekly Newsnotes
- Pulling together the PTO News section of Newsnotes
- Determining Committees and Appointing Committee Heads
Office of the PTO Vice President
There can be up to 2 Vice Presidents. Each Vice President serves a one year term.
A Vice President’s responsibilities include:
- Acting as liaison between committee chairs. This may include being responsible for overseeing communications, events or concerns of certain committees. . The overseeing of committees may be split between vice-presidents and co-presidents as needed. This should include a monthly meeting with committee heads.
- Assisting in the planning of meetings, fundraising and community events.
- Performing other duties appropriate to the office as determined by the Executive Committee.
- Fulfilling the duties of a Co-President if for any reason a Co-President is unable to fulfill his/her obligations.
Office of the Secretary
The Secretary serves a one year term.
The Secretary’s responsibilities include:
- Keeping and filing minutes of all meetings of the HM PTO.
- Compiling and distributing the agenda for all HM PTO meetings
- Handling all correspondence of the HM PTO including, but not limited to, various thank you notes, completing forms, compiling lists and conducting research.
- Maintaining the school calendar
- Assisting other officers with communications
Office of the Treasurer
The Treasurer serves a one year term.
The Treasurer’s responsibilities include:
- Receiving all monies of the HM PTO and making deposits and authorized disbursements.
- Assist Executive Committee with budget preparation.
- Keeping accurate accounts of the funds of the HM PTO and presenting a statement of account upon request of the Executive Committee.
- Prepare the annual financial report and file annual taxes.
